Immocrédit Inc. is committed to preserving the confidentiality of the information entrusted to it and is thereby committed to protecting and using personal information appropriately when it is transmitted.

In general, we only collect personal information voluntarily provided by individuals who wish to rent a residential apartment or commercial space in one of our buildings.

Here are the details of our privacy policies and procedures to learn more about how we collect, use, share, and protect the personal information we have obtained.

1. Collection and Use of Personal Information

1.1. Information We Collect

“Personal Information” refers to any information related to an individual that allows for their direct or indirect identification.

Each of Immocrédit Inc.’s entities and internal departments collects only the Personal Information about you that is necessary to establish, manage, and maintain the relationships it has with you. For each of these entities and departments, we describe below the categories of Personal Information collected, the means by which we collect it, and the legitimate purposes we pursue in doing so.

If we collect other Personal Information on an ad-hoc basis as needed, we will seek your consent.

o Real Estate Management (Residential Leasing)

Immocrédit Inc. may collect the following Personal Information about residential tenants:

  • Identification information: first and last name, date of birth, gender, and identity documents (e.g., health insurance card or driver’s license, social insurance number)
  • Contact information: mailing address, phone number, email;
  • Professional information: employer, job title, length of employment, salary, income proofs (e.g., pay stub to determine monthly net income);
  • Financial information: check specimen and credit score;
  • Information about rental history: information related to the previous lease (duration, expiration, current rent amount, etc.), reference information (name and phone number of previous landlords, current employer representative, etc.);
  • Other information (depending on the buildings): license plate (for automated parking access systems and emergencies).

This Personal Information may be collected during your phone conversations or email exchanges with our representatives or when you fill out lease or credit inquiry forms. It can also be collected through platforms such as ProprioLocation.

Furthermore, some of this information may be provided to us by third parties such as credit investigation firms, collection agents, banks, and external firms assisting foreign residents in settling in Quebec.

This Personal Information is necessary for the following purposes:

  • Leasing residential units;
  • Establishing and maintaining our relationship with you and providing ongoing service;
  • Obtaining statistics on your satisfaction;
  • Validating your ability to pay;
  • Checking your rental history;
  • Sending you notices and information;
  • Providing you with services through third parties;
  • Managing our rental properties; and
  • Complying with legal requirements.

In some cases, this Personal Information may be used in legal actions (especially before the Administrative Housing Tribunal), including civil procedures related to the collection of unpaid rents.

o Commercial Leasing

Immocrédit Inc. may collect the following Personal Information about commercial tenants and/or their representatives, when the tenant is a legal entity:

  • Identification information: first and last name, date of birth, social insurance number;
  • Contact information: mailing address, phone number, email;
  • Professional information: current employer’s address, employer’s name, job titles;
  • Financial information: check specimen, credit information, personal financial statement, financial statements.

This Personal Information is collected via email or a disclosure form and is necessary for the following purposes:

  • Leasing commercial premises to you;
  • Validating your ability to pay;
  • Securing payments through a personal guarantee.

In some cases, this Personal Information may be used in legal actions, including civil procedures related to the collection of unpaid rents.

o Human Resources

The Human Resources department of Immocrédit Inc. collects the following categories of Personal Information about employees:

  • Identification information: first and last name, date of birth, vehicle information (for automated parking access and emergencies), photo, identity documents (especially for initial employee identification and in case of accidents/work stoppages), social insurance number;
  • Contact information: mailing address, phone number, email, emergency contact phone number;
  • Medical information: information about COVID-related vaccinations, information related to workplace accidents and occupational diseases that occurred in the context of the employment relationship with Immocrédit Inc.;
  • Employment history information: information typically provided in a resume, such as jobs held during the career, tenure, salaries, and the names and phone numbers of references (when hired);
  • Financial information: check specimen (for payroll).

This Personal Information may be collected through dedicated technology platforms for human resources and payroll management or through external recruitment firms for information typically provided in a resume.

For job applicants, we collect Personal Information typically provided in a resume, such as a list of jobs held during their career, as well as identification and contact information, such as names, phone numbers, and email addresses. Subsequently, the other Personal Information listed above is collected as needed to advance the hiring process.

When you provide us with personal information, it is only used for the purposes described in this privacy statement. Your personal information will not be used for other purposes unless you have consented to it or unless the law or professional standards require or authorize us to do so.

1.2 Our Legal Basis for Using Your Personal Information

In general, Immocrédit Inc. only collects the personal information necessary for credit inquiries. If we need additional optional information, we will inform you when collecting the data.

The law allows us to use your personal information, provided that we have valid reasons to do so. We are also required to inform you of these reasons. Thus, when we process your personal information, we do so for the following reasons:

  • Performance of a contract: if the processing of your personal information is necessary to meet our obligations under a contract.

Despite our efforts, it is impossible to guarantee the absolute security of information against all threats. We do our best to limit access to personal information concerning you to those who need to know it. Individuals with access to the data are required to maintain its confidentiality.

We also make reasonable efforts to retain personal information only for as long as necessary: i) to respond to the request of the data subject; ii) to comply with legal, regulatory, and business policies and requirements; iii) or until the data subject requests its deletion. The period during which data is retained depends on its nature and the specific circumstances in which it was collected; however, and subject to the statements i) to iii) above, personal information will not be retained for more than two years.
